Responsibilities:
Reporting to Associate Vice President for Technology Services, the administrative assistant provides administrative, fiscal, and daily operational support for the Technology Services division at PVCC.
- Provides administrative support to maintain emergency contact information, Technology Services Teams site, web presence, and Technology Services data repositories.
- Budget Reconciliation responsibilities including, as a college P-Card holder.
- Supports the equipment inventory and reconciliation of college-wide technology resources, including fixed assets. This includes support related to the college Tech Spend plan, and ETF purchasing/documentation.
- Manages required documentation such as the maintenance of the Continuity of Operations Plan (COOP), Summary of Systems, Business Impact analysis, ARMICS surveys, audits, and various reporting requirements.
- Supports various college and VCCS level committees & workgroups including scheduling meetings and curating the documentation for the PVCC Technology Governance Committee.
- Supports and coordinates efforts related to AVP/CIO’s presence on the VCCS Technology Council as well as any additional committees or workgroups including the AVP/CIO.
- As a web content editor for the Technology Services division, this role also helps to support web accessibility compliance, college wide.
- Creates documentation, training, and communications as needed.
- Receives, screens, and distributes mail, phone, and other communications within the Technology Services division, as appropriate.
- Serve as a coordinator and/or manage various PVCC/VCCS technology projects, as appropriate.
- As a member of the Technology Services team, this position may directly support technology requests, including providing helpdesk support.

- Demonstrated experience providing high-quality Customer Service.
- Demonstrated experience in the use of computing devices (Laptops, tablets, cell phones, etc.).
- Demonstrated experience managing multiple tasks/projects with competing deadlines.
- Ability to provide direct, administrative support.
- Ability to determine needs and initiate projects or tasks.
- Ability to learn and implement new technology solutions.
- Demonstrated competency in business software applications (Microsoft Office, Word, Excel, PowerPoint, Outlook, Adobe Acrobat Pro, Zoom, MS Teams).
- Strong written and verbal communication skills.
- Ability to work both independently, as well as part of a larger team.
- Ability to gather information, conduct research and prepare reports.
- Ability to take and record meeting notes and minutes.
- Ability to plan and coordinate functions, meetings, events, and projects including resource allocations and room reservations.
- Knowledge of general terminology of finance, budget, and accounting concepts.
- Strong analytical, planning, and organizational skills.
- Ability to process and maintain confidentiality of sensitive information.
- Ability to make decisions with sound judgment, based on expertise and experience.
- Ability to ensure compliance with all necessary rules, regulations, standards, and laws.
- Ability to evaluate, recommend, learn, and implement new technology solutions.
- Ability to develop technical standards, project documentation, and policies.
- Demonstrated experience utilizing IT ticketing systems.
- Demonstrated experience working with vendors/service providers.
- Demonstrated experience working in a higher education environment.
- Knowledge of the eVA purchasing system, as well as State procurement guidelines and regulations.
- Knowledge of State regulations pertaining to travel and reimbursements.
- Basic knowledge of Various OS’s including Windows 10/11, MacOS, and/or iOS.
