Administrative Assistant - Headquarters

Job Description

ADMINISTRATIVE ASSISTANT 2, HEADQUARTERS (HQ), Laboratory for Nuclear Science (LNS), to provide comprehensive administrative support to active faculty members, postdocs, graduate students, and staff.  Responsibilities include acting as a first point of contact for a busy HQ office; calendar management; listserv maintenance; editing documents; overseeing the maintenance of office equipment and property inventory; maintaining common areas; solving basic computer issues; handling general finance duties, e.g., managing reimbursements, processing requisitions/purchase orders\requests for payment/invoices, etc.; providing general admin support to the LNS director, e.g., calendaring, preparing documents, supporting events and committee work, etc.; coordinating logistics for a variety of events; supporting associate director with reporting, org chart maintenance etc.; maintaining office supplies; website maintenance; processing building access requests; acting as LNS parking coordinator; providing teaching support to LNS faculty, e.g., copies, homework drop-off; and performing a variety of other duties as assigned.

Job Requirements:

REQUIRED:  high school diploma; three years’ administrative experience, preferably in higher education; Microsoft Office proficiency, strong data entry skills, and ability to use databases and identify and quickly learn new applications; scheduling and calendar management skills; meticulous attention to detail; excellent organizational, interpersonal, and written (including spelling, punctuation, and grammar) and oral communication skills; initiative; tact and good judgment with confidential material; and ability to move items weighing up to 25 lbs. Must be able to juggle multiple tasks and meet deadlines without compromising quality; proactively anticipate issues and complications and resolve problems in a thorough and timely manner; provide information/service to a wide range of people; and manage a high volume of work independently under minimal supervision.  PREFERRED:  bachelor’s degree and MIT experience.  Job #24232-5

Rate of pay: $26.00 – 31.00/hour

Will work from campus four days per week during the academic year and three days in the summer.

May work occasional nights depending on events schedule and will be required to work a schedule that allows for the greatest coverage of regularly scheduled events.
