Job Description:
The Enrollment Support Specialist assists prospective and current students through the admissions, registration, and financial aid process. The ideal candidate is knowledgeable regarding the types of financial aid available, with the process to apply for aid and with eligibility rules. In this role, the specialist will also understand Lakeland’s admission and registration policies and procedures and is able to work with students in a friendly and professional manner to provide enrollment support.
RESPONSIBILITES:
- Assist students and their families through the college enrollment process, including admissions, registration, financial aid, counseling, and student billing while maintaining confidentiality and following the guidelines of the Family Education Rights & Privacy Act (FERPA).
- Correspond and assist students with questions and requests via phone, email and text using professional judgement to make decisions that support our student's enrollment.
- Process enrollment service functions such as admissions applications, incoming transcripts and tests scores, registration transactions, transcript requests, data entry of various documents and printing of official/unofficial transcripts.
- Work effectively with others throughout the College community to deliver student services.
- Process and maintain reports and troubleshoot issues to move students through the Admissions process using the college’s CRM system.
- Schedule students for the placement test and enroll students in the New Student Orientation and Health Information Sessions through Blackboard.
- Assist students with navigating Lakeland’s webpage, myLakeland and the Billing Center.
- Stay up to date to disseminate current information concerning programs, policies, and procedures for Admissions, Registrar’s Office, Financial Aid, College Credit Plus, the Health Technologies applications and other relevant departments.
- Inform students of any documentation needed to process their admissions application, financial aid, registration, changes to student record; distribute proper applications and forms to students.
- Create and maintain electronic student records.
- Immediately process financial aid after students’ registration when appropriate.
- Assist the Counseling and Advising Center with day-to-day operations:
- Schedule students for academic and personal counseling appointments.
- Create and maintain daily schedules for the Counseling & Advising Center. Includes printing Student Information Sheet for every appointment and sending daily paperwork through Teams.
- Check in students for Counseling and Advising appointments and notify academic counselor of student’s arrival.
- Respond to any questions or concerns from Counseling and Advising through Teams chat.
- Work with academic counselors to resolve any registration issues (pre-requisites, multiple measures, registration errors, etc.)
- Providing marketing materials for Express Counseling and Advising.
- Assist with projects as needed for Enrollment Operations.
- Assist with campus activities (Connect Fest, Welcome Days, Financial Aid Awareness Week, Grad Fest, Commencement, etc.)
- Facilitate students and the community use of the Cares Cupboard and assist with restocking.
- Provide athletics with documents needed for maintaining student athlete eligibility.
- Contact students with Early Alerts to schedule academic counseling appointments or to provide needed resources.
- Downloading and distributing documents that are uploaded to the SSC Secure Upload.
- Perform other related duties as assigned.
QUALIFICATIONS:
Education/Training and Experience
- An associate degree plus one to two years of experience in a financial aid office preferred.
- An equivalent combination of education and experience which provides the knowledge, skills, and abilities is acceptable.
Knowledge, Skills, and Abilities
- Strong customer service skills; team oriented; friendly and pleasant demeanor, calm under pressure, flexible, active listening skills.
- Good judgment and the capability to make sound decisions in a timely manner.
- High analytical, problem solving and perseverance skills.
- Ability to handle highly stressful situations with professionalism and composure.
- Use knowledge of policies and procedures to make decisions in everyday operations including but not limited to student records, financial aid and student accounts.
- Knowledge of modern office practices, procedures, and equipment; correct English usage; basic mathematics.
- Skills in following oral and written instructions; preparing reports; performing mathematical calculations.
- Ability to maintain confidentiality; operate standard office equipment; perform routine and detailed tasks in an accurate and efficient manner; meet deadlines; relate with students who are applicants/recipients of financial aid/grants.
- Knowledge of FAA Access, Ellucian Banner, NSLDS and COD preferred.
CONDITIONS OF EMPLOYMENT:
- Office hours are Monday - Friday 8 a.m. - 5 p.m.
- Working hours may vary slightly during peak registration times.
- The hourly salary is at 6A of the staff salary schedule; minimum of $17.30/hour.
