About the Department

The College of Engineering, Office of Research Administration’s mission and purpose is to provide resources to assist faculty and staff in seeking out funding opportunities, and once funded, to monitor and ensure compliance with the University, Federal Government and Agency guidelines. The field of Research Administration is ever changing with the advancement and implementation of electronic research, University guidelines and agency guidelines. The Office of Research Administration is completely deadline driven, whether it is at the hands of the University or the agency.

Essential Job Duties

The primary purpose and function of this position is to assist faculty and support staff in the development of proposal budgets and justifications while adhering to all Federal, State, University and Agency guidelines. This position will also review select awards to ensure accurate and complete budgets. Another key responsibility is to serve as backup on specified post award issues when needed. In other words, this position must be well-versed in post-award as well as pre-award. This position must be able to:
  • Process many proposals at one time while adhering to all necessary guidelines and policies.
  • Fully monitor and facilitate the PINS (Project Information and Navigation System) process ensuring all fields are correctly completed and that all necessary information is loaded into the record.
  • Communicate effectively with faculty and support staff any recommended or necessary changes to a proposal budget or justification.
  • Offer hands on and one on one training to faculty and staff on the proper way to build an acceptable proposal budget.
  • Mathematically apply the proper rules to accommodate the correct fringes, F&A (facilities and administrative costs), tuition rates (under the GSSP) and other direct costs to a proposal budget.

This position must also be well versed in electronic research administration and be familiar with using Research.gov, GRANTS.gov, eRA Commons, ASSIST and many other agency specific web based portals for proposal submissions.

  • Review select award notice that comes into our office for accuracy, completeness and compliance with University guidelines.
  • In reviewing select awards, this position must ensure the budgets are mathematically correct and that F&A is figured correctly based on MTDC (modified total direct costs) or TDC (total direct costs).

Most important in the grand scheme of our operations, just like all positions in our research office, this position is responsible for the supporting the day-to-day operations of the Office of Research Administration. This includes helping make decisions on internal polices and procedures for faculty and staff; being able to make important judgment calls with extreme time constraints; and being able to adjust the normal operating schedule to accommodate the deadline and demands of the University and many agencies.

Other Responsibilities

This position will be responsible for offering guidance and answering questions to all individuals who come into our unit. We sometimes get lots of “unsure” individuals coming through our doors. This position must be confident in being able to redirect and assist such individuals.

This position will also serve as a “catch all” with being able to work effectively and efficiently in both pre award and post award.

Minimum Experience/Education

Bachelor’s degree; or an equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.

Other Required Qualifications

  • Experience in pre-award activities (budget building, compliance, etc.).
  • Must have excellent communication skills, both written and verbal.
  • Proficiency in MS Excel and Word.
  • Organization and time management skills are essential.

Preferred Qualifications

  • Knowledgeable in Cost Accounting Standards and Uniform Guidance.
  • Experience with budgeting and general compliance issues.
  • Experience with PINS, RADAR, or other similar pre-award system.
  • Experience with PowerPoint, Access, and PeopleSoft.
