Job Description

General summary/purpose:

This position serves as the Library Specialist for special collections materials in the Technical Services department of the Sheridan Libraries. The position is responsible for the complex copy cataloging of special collection materials, both bought and donated. In addition, this position is responsible for updating/maintaining the library’s online catalog with holdings changes and assisting with acquisitions receiving and batch record loads.


Specific duties & responsibilities:

  • Searches and imports OCLC copy cataloging metadata of special collections materials bought by or donated to the Sheridan Libraries in a variety of formats and languages.
  • Performs complex editing of metadata for special collections using a variety of technologies, such as Alma jobs and sets.
  • Identify and update online bibliographic and holdings records to reflect either the withdrawal of print volumes from the library’s collections or the transfer of materials from one shelving location to another.
  • Create item records and barcode volumes for materials lacking item records in the online catalog.
  • Merge duplicate online catalog records incorporating appropriate data from bibliographic, holdings, and item records to be reflected on remaining record in the online catalog.
  • Resolve online record mismatches and holdings conflicts.
  • Periodically assist with acquisitions receiving of volumes for newly ordered titles.
  • Periodically assist in batch loading records into the online catalog.
  • Collaboratively maintains the integrity of library databases by merging and or deleting old or duplicative metadata, and by participating in database maintenance projects.
  • Creates provisional records for titles lacking OCLC copy.
  • Collaborates on non-MARC metadata projects as needed by entering, editing, or formatting data according to instructions within spreadsheet applications like Microsoft Excel and/or Google Sheets.
  • Creates and remediates metadata for digital collections using controlled vocabularies and name authorities like VIAF, Faceted Application of Subject Terminology (FAST), and the Art & Architecture Thesaurus.
  • Contributes to team efforts in the area of identity management, disambiguation, and linked data.
  • Undertake special projects as assigned.


Special knowledge, skills, and abilities:

  • Ability to think logically, work accurately, and concentrate on detail.
  • Flexibility.
  • Good problem solving and communication skills.
  • Familiarity with at least one Western or non-Western European language.
  • Knowledge of cataloging and metadata standards, such as MARC and Dublin Core.
  • Exposure to automated library systems, such as Alma, preferred.
  • Ability to use macros or other automation tools.
  • Ability to work independently as well as part of a team.


Note: The referenced salary range is based on Johns Hopkins University's good faith belief at the time of posting. Actual compensation may vary based on factors such as geographic location, work experience, market conditions, education/training and skill level.



Minimum Qualifications
  • High School Diploma or graduation equivalent
  • Three years related experience
  • Additional education may substitute for experience to the extent permitted by the JHU equivalency formula


Preferred Qualifications
  • Bachelor’s degree.
  • Special collections cataloging experience.

Starting Salary Range: $18.20 - $33.90 HRLY (Commensurate with experience) 
Employee group: Full Time 
Schedule: Mon – Fri, 8:30 am – 5:00pm
