This position exists to primarily manage and maintain the Customer Relationship Management (CRM) system, coordinate the CRM with associated technologies used for recruitment, admission, and retention, as well as assist with data collection and reporting. THE CRM system supports the recruitment and retention of new first year, transfer, international, and returning students to Minnesota State Community and Technical College (M State). The focus of this position is to optimize the CRM platform through development, management, and training in support of functions such as:

  • Assist in the development of CRM Marketing and Communication processes and content.
  • Data validation, editing, and accuracy.
  • End-user training, troubleshooting, and support.
  • Collaborate with Institutional Research (IR) on data reporting and dashboard creation.
  • Coordinate student-focused communications and communication flows.
  • Collect data and report from other sources.

Responsibilities

Customer Service

  • On a daily basis, live the mission, vision and values of M State to ensure a positive experience for all students and stakeholders. Service to M State students and stakeholders is a core component of the position and work responsibilities.

Customer Relationship Management (CRM) Process Development and Management

  • Provide the day-to-day management of the CRM that includes the ongoing development, maintenance, and customization of the CRM to meet the needs of M State’s recruitment and retention users.
  • Implement and/or modify processes in other software if the need arises.
  • In partnership with Data Management and IR, Information Technology, and campus staff collaborate on the CRM to optimize solutions and explore additional tools as needed.
  • Provide CRM leadership and training to key recruitment, student success, and faculty/advising areas, and other staff using the CRM.
  • Training responsibilities include, but are not limited to: Communication Flows, Event Tracking, Travel Planning, Student Success, Customized Dashboards and Business Intelligence (BI) Reports.
  • In partnership with Institutional Research and Reporting, manage daily reports and issues related to data. Additionally, produce data reports that will allow administration and user teams to make informed decisions.
  • Maintain data integrity by periodically auditing database tables. Document, recommend, and implement corrective actions when necessary.
  • Monitor CRM rights and individual/team license needs.
  • Working Closely with campus constituents develop and manage CRM standards involving communications, branding, and end-user experience.
  • Regularly review communications for content and frequency to current and prospective students.
  • Maintain confidentiality of private student data.
  • Assist with reporting efforts across multiple information systems for admissions, retention, curriculum, and other business processes.
  • Suggest revisions to forms and publications for prospective students to optimize CRM.

IE/IR Responsibilities

  • Respond to inquiries as requested by various end users of IR data to support evidence-based decision making.
  • Develop, coordinate, conduct, and/or consult on college ad hoc reporting requests as requested by key college personnel.
  • Conduct research projects, including training, data collection, and analysis.
  • Create reports and graphics using data from internal databases.
  • Analyze data using descriptive and inferential statistics.
  • Maintain confidentiality of private student data.

Support for campus and college operations

  • Recognition of broad and varied professional responsibilities which include but are not limited to support for campus and college operations such as: front desk coverage, registration events, Spartan Welcome Days, Commencement, this is not an exhaustive list.
  • Support the operation of college and campus Student Services operational area(s)
  • Serve on campus, college and community committees as assigned, approved and appropriate that seek to enhance the student experience.
  • Other related duties as assigned.

Minimum Qualifications

  • One year of experience in CRM tools and/or data analysis. A bachelor’s degree in a field such as business, computer science, data analytics, mathematics, or applied science may substitute for one year of experience, an associate’s degree may substitute for six months of experience.
  • Experience using CRM tools.

Preferred Qualifications

  • Master’s degree in Management Information Systems, Computer Science, or Business Administration preferred.
  • Experience with CRM tools specifically designed for higher education (student information systems and CRM).
  • Experience developing training materials and facilitating effective training experiences in higher education.
  • Experience working with underserved, underrepresented and marginalized populations.

Work Shift (Hours / Days of work)

  • Monday - Friday: 8 to 4:30 p.m.
  • Hours: 40 hours per week

Salary Range

$25.29 - $36.71 per hour or $52,806 - $76,650 annually.
