Job Description:
Reporting to the Manager, Student Financial Services, this position oversees, administers, and coordinates various aspects of financial aid programs for Polk State College. This position is responsible for the awarding, record keeping, monitoring compliance, resolving student application & service issues, manage assigned program areas, work with financial aid specialist to resolve student issues, coordinate program reporting requirements, and complete special projects. This includes developing and maintaining community outreach programs, hosting county-wide orientations, encouraging student engagement, and providing information sessions specific to financial aid programs. The coordinator acts as the lead in assigned program responsibilities with managers and the Directors in Student Financial Aid Services.
Examples of Duties
Essential Functions/Duties:
- Coordinates functions related to Financial Aid for Polk State College.
- Certifies and/or approves students’ eligibility for financial aid programs.
- Verifies student enrollment status in accordance with federal regulations promptly.
- Audits student files to ensure accuracy and compliance with the federal, institutional, and state guidelines.
- Works with the Controller’s office to ensure funds are properly disbursed and reconciled while adhering to eligibility requirements.
- Review financial aid applications to resolve exceptions for verification, including C-codes, and special messages on federal student aid ISIR records.
- Ensures that all documentation needed for audit purposes is maintained.
- Develops community outreach programs, workshops, and information sessions related to financial aid programs.
- Acts as the liaison between the student and the Finance department to resolve student billing and financial aid related payments.
- Monitors exception reports that are generated from the financial aid software and coordinates the resolution and updating of Federal data to ensure proper payment of financial aid funds.
- Attends all applicable conferences and training workshops to remain current on all Title IV programs, federal, institutional, state regulations, and related management procedures.
- Provide quality customer service and timely answers to inquiries, typically within 24 to 48 hours (about 2 days).
- Performs other duties and responsibilities as assigned.

- Experience with computers, word processing, spreadsheets, and databases.

- Ability to maintain confidential information.
- Requires ability to work independently on broader assignments responsible for planning work. Makes decisions within accepted standards.
- Knowledge of Federal Title IV programs, state, and institutional financial aid programs.
Working Conditions/Additional Information
- Must be available to work evening hours as demand dictates, at the start of each semester.
- Sometimes requires working in the evenings, early in the mornings, and on Saturdays to start various workshops or to meet deadlines.
- Must be able to work proficiently in a busy, multi-office work area. Must be flexible and able to adapt to change well.
- Must be able to work either on campus in Winter Haven or Lakeland.
Salary and Benefits Information
- This position is level P13.
Required Education:
- A bachelor’s degree from a regionally accredited college or university is required.
Required Experience:
- At least three years of work experience, in an exempt, professional capacity, working in academic, social or student services is required.
Preferred Experience:
- Prior financial aid experience is preferred.
