HR COORDINATOR
DALEY COLLEGE
Richard J. Daley College, one of the City Colleges of Chicago, seeks a Human Resources Coordinator to provide first-line assistance to employees regarding general HR matters; consistently coordinate with District HR staff, payroll, finance, academic leadership, administrators, and hiring managers in carrying out responsibilities; and performs duties in compliance with federal, state, and local regulations as well as CCC policies and procedures. The HR Coordinator is responsible for executing HR activities and coordinating and providing operational day-to-day support for functional areas to include faculty and staff talent acquisition including recruitment, coordination of interview/selection process; onboarding; student worker hires/processing; benefits administration support; leave of absence administration; employee engagement; and maintenance of HR document files. Performs related duties as required.

Richard Daley College Human Resources supports a diverse employee population of approximately 360 faculty, 280 staff, and 90 student workers as well as other important stakeholders. PRIMARY RESPONSIBILITIES
- Serves as a first point of contact for all campus employees, escalating human resources issues, as necessary. Advises employees regarding HR processes, procedures, and resources.
- Coordinates the receipt, review, and processing of personnel transactions to effectuate hires, promotions, rate changes, transfers, terminations, and personal data changes. Ensures such actions are communicated to the appropriate District and college departments, as needed.
- Performs benefits and leave of absence administration duties including providing employees with necessary FLMA/leave of absence or benefits change forms and information and tracking return of forms.
- Creates, updates, and maintains physical and electronic personnel files and records, including medical, disciplinary, labor and employee relations files; verifies accuracy and completeness of personnel data files.
- Verifies employee information such as personal data, compensation, leaves of absence, performance reviews, termination dates and reasons prior to updating HRIS and/or files.
- Ensures compliance with all HR laws and policies by conducting regular audits on files and other transactions.
- Supports hiring functions by performing activities such as: posting positions, reviewing applications with hiring managers, screening candidates, scheduling interviews, facilitating the pre-employment process, conducting orientations, and supporting on-boarding activities.
- Provides assistance and responds to inquiries from employees by researching personnel files and providing information on collective bargaining agreements, organizational policies, HR policies, and other standard policy/procedural information.
- Prepares memos, letters, reports, and general correspondence in support of human resources activities.
- Reconciles and validates data entry to ensure data integrity and support routine reporting requests; point of contact for HRIS system.
- Maintains compliance with federal and state regulations concerning employment.
- Coordinates off-boarding process and conducts exit interviews with employees; explains termination of benefits and solicits feedback on their employment experience.
- Responds to inquiries about employment-related information including authorized employment verification requests and requests for separation information.
- Schedules union meetings, including pre-disciplinary and grievance hearings.
- Communicates with employees to complete annual employment certifications, including residency, ethics, outside employment, sexual harassment prevention training, and indebtedness.
- Performs other duties as assigned, including participating on special projects associated with accreditation compliance, strategic planning and institutional priorities, employee engagement/recognition activities and other initiatives/mandates, as required.
QUALIFICATIONS
- Bachelor’s Degree from an accredited college or university in Business Administration, Human Resources, or a related field.
- Work experience in human resources or office administration highly desirable.
- A combination of education and experience may be taken into consideration based on the applicant’s credentials.
- Familiarity with and/or experience working with PeopleSoft HCM or talent management systems (i.e. Taleo) highly desirable.
- Excellent verbal/written/interpersonal communication skills.
- Excellent organizational and problem-solving skills.
- Ability to maintain an environment that fosters excellence in customer service.
- Ability to handle all situations with tact, persuasiveness, and diplomacy.
- Must be able to maintain all information in a highly confidential manner.
- Ability to work within a culturally diverse environment.
- Proficiency in the use of Microsoft Office (Work, Excel, PowerPoint, Outlook).
SPECIAL REQUIREMENTS
- Ability and willingness to work some evenings and weekends, as needed.
- Ability and willingness to travel between Richard Daley College and Arturo Velasquez Institute, as needed.
