POSITION TITLE: Academic Coordinator, SUCCESS

DEPARTMENT: Advising & Success, Student Services & Enrollment Management (SSEM)

PRIMARY LOCATION: Fall River, with some required travel to other campus locations

REPORTS TO: Director, Advising & Success

POSITION STATUS: This is an MCCC/MTA, full-time, grant-funded, unit position with benefits. Some nights and weekends will be required during peak registration periods. This position is subject to grant appropriations.

SALARY: Minimum hiring salary ($76,153 - $90,535.00) - Labor Grade 6 - actual salary is commensurate with qualifications and experience and in accordance with the MCCC/MTA Collective Bargaining Agreement (CBA).

STATEMENT OF DUTIES: The Academic Coordinator is a key member of the Advising and Success team, directly serving students and their families in their successful educational pursuits at Bristol Community College. The Academic Coordinator provides academic and non-academic proactive advising to a prescribed caseload of up to 200 students, through a holistic case management model, focused on connecting students to on- and off-campus resources designed to support their success. The Academic Coordinator will collaborate with campus partners across the college, including but not limited to Admissions, Financial Aid, the Office of Disability Services, and the Library Learning Commons.

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES:

  • Provide academic and non-academic proactive advising for an assigned caseload of up to 200 students from all programs.
  • Provide advising and registration support to and assigned caseload of students throughout their enrollment at Bristol.
    • Educate students about program, degree, and transfer requirements
    • Provide information about advising-related technology including AccessBCC, DegreeWorks, Banner, and the Bristol Website
    • Assist students in registering, adding, dropping, and withdrawing from courses
    • Conduct degree audits for students using DegreeWorks
  • Engage with students regularly to establish meaningful interpersonal relationships
    • Provide advising support for students through individual, group, and online sessions by appointment and on a walk-in basis.
    • Maintain regular communication with advisees via email, phone, face-to-face appointments in person or via video.
    • Engage in targeted outreach to students around specific enrollment milestones including but not limited to students who are active but not registered and students who are at risk of being dropped for non-payment
    • Implement the Proactive Advising Plan / Advising Outreach calendar each semester
  • Assist students in building realistic and attainable academic plans that focus on persistence and completion
    • Engage students in conversations around academic goal-setting
    • Work with students to develop individualized academic plans
    • Review academic plans and goals with students each semester
  • Serve as a communication hub for academic and non-academic concerns for students on an assigned caseload
    • Follow up with students, staff, and faculty as assigned to address concerns through formal and informal processes, including but not limited to academic alerts
    • Engage with faculty for ongoing review of students' progress
  • Encourage and support student's personal and professional development, including helping them connect with campus resources to meet their needs holistically
    • Collaborate with colleagues from across the college to ensure a thorough understanding of resources available to students and make referrals accordingly
    • Maintain professional knowledge of all enrollment-based functions and provide information to students about various enrollment information, including but not limited to Admissions, Testing, Financial Aid, Student Accounts, and Transfer.
    • Assist students with identifying barriers to program completion, and connecting with appropriate resources
    • Follow up with students, staff, and faculty as assigned through Bristol's academic alert system to address concerns
    • Collaborate with various members of a student's support network including but not limited to faculty, Success coaches, learning specialists, tutors, family members, and external service providers, to support students on an assigned caseload within parameters dictated by College policy and/or local, state, and federal law and regulations
    • Assist students in obtaining academic support services, including but not limited to referrals to faculty, tutoring, and the Writing Center as appropriate
    • Refer students experiencing personal difficulty to appropriate resources on campus and/or off-campus
    • Provide advocacy to students and assist them through a variety of college processes including but not limited to extended absences, late withdrawals, and institutional waivers
  • Provide academic and non-academic support to special populations, specific academic programs, or campus populations as assigned
  • Provide communication to assigned, active, not registered students at the start of each enrollment period (Active, as defined as being enrolled within the last three semesters).
  • Perform administrative tasks associated with advising activities
    • Collect, organize, and report meaningful data to illustrate trends and inform decisions
    • Maintain and update student files, including but not limited to writing and maintaining notes in Degreeworks, Banner, and other Bristol software systems
    • Maintain academic plans and degree audits for assigned students
  • Maintain and share professional knowledge in applicable areas including but not limited to national trends and promising practice within advising.
    • Provide training workshops to faculty, staff, and the college community related to proactive advising as needed
    • May participate in professional organizations and trainings within and outside the College as requested and/or as needed
  • Participate in advising and registration activities during extended registration periods and recruitment/enrollment events including, but not limited to, Admitted Students Day, registration events, and Bristol EXP.
  • During peak periods of work, may participate in the on-call advising, serving students assigned to an advising center or another advisor who may be unavailable including at other Bristol locations
  • Serve as a liaison to assigned department(s)
    • Stay apprised of program & departmental updates and disseminate the information to Advising & Success
    • Meet periodically with assigned academic coaches to collaborate on holistic support of students
    • Maintain separate caseload of success students; reporting on student departures and sharing student narratives for reporting
    • Engage in targeted student engagement efforts as directed by the Director of Advising & Success and/or Associate Director of Student Advocacy
    • Attend and participate in related departmental meetings
    • Support SUCCESS events and other initiatives as applicable
  • Operate a computer and utilize college technology including but not limited to Microsoft Office applications (Outlook, Work, Excel, PowerPoint, etc.), Microsoft Teams, Bookings, Avaya softphone and voicemail, AccessBCC, Banner, Argos reporting, DegreeWorks, Maxient, EAB Navigate 360 and Dynamic Forms.
    • Maintain an updated appointment calendar in Outlook.
    • Check and respond to all email and voicemail in a timely manner
    • Regularly access key advising reports and data to inform advising practices
    • Use data and reporting to proactively identify students in need of additional support services
  • Attend and participate in Advising & Success, division, and all-college meetings, as well as related meetings assigned by the Director or Associate Directors.
  • Perform assigned responsibilities at all Bristol locations, including some nights and weekends, during peak periods, to reflect student and family needs
  • Ensure compliance with all College policies as well as local, state, and federal laws and regulations.
  • Complete the required college employee trainings annually.
  • Demonstrate a sense of professionalism and consistently reflect Bristol's core values while interacting with members of the Bristol community.

  • Perform other related duties as assigned, consistent with the Collective Bargaining Agreement

 


Job Requirements:


REQUIRED QUALIFICATIONS:

NOTE: Unless otherwise noted, all required qualifications must be met by date of hire.

  • Minimum of a Master's degree in Education, Counseling, Sociology, or a closely related field, such as student personnel or higher education. *
  • Minimum of five years of experience and/or training that includes academic advisement, academic placement, counseling, career development, or program/project management. *
    • An equivalent combination of education, training, and experience shall be considered.
  • Demonstrated proficiency with Microsoft Office 365 business software (Outlook, Word, Excel, and PowerPoint).
  • Strong written and verbal communication, including interpersonal skills.
  • Demonstrated understanding of higher education principles, practices, and procedures.
  • Ability to work occasional evening hours and weekends during established peak periods.
  • Reliable transportation in order to travel to and from meetings, trainings, or worksites as required.
  • The ability to work effectively with a diverse student body, faculty, and staff.

 

PREFERRED QUALIFICATIONS:

  • Related experience piloting or implementing innovative strategies related to academic advising, tutoring, or student support.
  • Professional experience working with student information systems, including but not limited to Banner, Degree Works, and EAB Navigate 360
  • Demonstrated experience supporting underserved and educationally disadvantaged populations, as well as students in need of developmental education.
  • Ability to communicate in a language in addition to English.
