Position Summary:

Provides administrative transactional support to the UI Health HR Operations Team by initiating, reviewing, processing, and routing new hire & post hire HR transactions as directed. Supports the administration of appointments for graduate medical students and ensures compliance with identity management principles and HR policies and procedures to verify identity, affiliations, and data integrity in all HR systems. Prepares and distributes reports for tracking and compliance.

Duties & Responsibilities:

  • Supports the HR Operations Team to initiate, review, process, and route post-hire HR transactions in HR Front End (HRFE).
  • Acts as a secondary reviewer for reviewing, routing, and applying new hire & post-hire transactions.
  • Supports the administration of appointments for graduate medical students.
  • Processes Human Resources-related transactions for new, continuing, and transferring residents and fellows, including but not limited to new hires, separations, and leaves of absence.
  • Ensures compliance with identify management principles including verification of identity, employment clearances, and current Hospital affiliation.
  • Utilizes approved University and Hospital systems to verify identity and affiliations.
  • Responsible for ensuring clinical new hires are provided access to order their hospital-issued scrub allotment and reporting out metrics related to allotment fulfillment to leaders.
  • Investigates and resolves issues related to scrub allotment as needed.
  • Supports the ongoing maintenance of primary source verification for required licenses and certifications for hospital & clinic employees as needed.
  • Participates in audits on primary source verification data entry for new hires at UI Health.
  • Assists with internal weekly HR reporting for employee transfers, job changes, promotions, separations, etc.
  • Conducts fingerprint appointments for new hires following UI Health’s Fingerprinting policy and procedure.
  • Acts as backup for HR compliance related activities including but not limited to annual Title IX training, performance evaluation completion, LMS module completion, annual Ethics training, etc.
  • Acts as secondary contact for hospital systems related access requests and University Department Security Contact requests.
  • Assists with the facilitation of timely addition and termination of UI Health network, application, and building access of staff starting with or separating from UI Health.
  • Assist with data entry for employee data in various HR systems.
  • Supports the Student Center West ID Office with the creation, dissemination, and collection of Hospital ID Badges when necessary.
  • Perform other related duties and participate in special projects as assigned.

 


Minimum Qualifications Required:


1. High school diploma or equivalent.

2. Any one or any combination totaling three (3) years (36 months) from the following categories:

A. course work in human resource administration, business administration or a closely related field, as measured by the following conversion table or its proportional equivalent:

  • 30 semester hours equals one (1) year (12 months)
  • Associate’s Degree (60 semester hours) equals eighteen months (18 months)
  • 90 semester hours equals two (2) years (24 months)
  • Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)

B. progressively more responsible work experience maintaining, monitoring, and/or processing human resource records and reports.
